About the Logistics Coordinator (Personnel) Role:

We are seeking a highly organised and proactive Logistics Coordinator to join our Logistics & Planning Team, based at Nelson House, Great Yarmouth.

This role operates on a 7 days on / 7 days off shift pattern, working 12-hour days whilst on shift. During the week on shift, the postholder will also provide vital on-call logistics support to the wider business, including support to the duty emergency response team.

The role is responsible for coordinating all personnel resources to ensure individuals and associated equipment are scheduled to the correct offshore locations at the right time, with all required administrative, compliance and cost control processes in place.

This is a fast-paced, dynamic role requiring a genuine “can-do” attitude and the ability to support wider team activities when required.

Key responsibilities include:

Personnel Resource Coordination

  • Coordinating, tasking and scheduling offshore personnel for each ODE managed asset mobilisation
  • Supporting internal job sponsors with onshore personnel coordination where required
  • Maintaining daily accuracy of offshore resource planning systems and offshore personnel calendars
  • Ensuring VantagePOB records are accurate and aligned with personnel and logistics resource planning (flight loading, employer details, ELI information and management of rest periods)
  • Screening offshore personnel training certificates and validating OEUK mandatory training requirements
  • Sourcing work history and technical competence documentation for third-party personnel and obtaining internal technical approval
  • Ensuring appropriate offshore secondary duty competence (e.g. Coxswain, Helideck Assistant, Advanced First Aider)
  • Supporting helicopter bookings and issuing mobilisation / check-in information
  • Coordinating P2W training requirements with SHEQ department
  • Maintaining accurate records of declined offshore taskings and reporting to Operations Managers

On-Call / Out of Hours Support

  • Coordinating helicopter or vessel charter requests outside normal office hours
  • Supporting personnel mobilisation for offshore interventions or emergency requirements

VantagePOB Administration

  • Ensuring correct employing company, next of kin and personal details are entered for mobilising personnel
  • Updating Employer Liability Insurance (ELI) information for third-party companies
  • Maintaining data accuracy and compliance within the VantagePOB system

Planning & Campaign Support

  • Attending weekly asset planning meetings (30 & 90 day lookaheads)
  • Supporting personnel planning for walk-to-work campaigns and vessel mobilisations
  • Updating mobilisation tracking sheets in line with asset plans
  • Coordinating personnel requirements for walk-to-work campaigns, including quayside / heliport support

Cost Control & Procurement

  • Ensuring supplier quotations are requested and received for third-party personnel
  • Raising and tracking requisitions and purchase orders prior to mobilisation
  • Checking accuracy and legitimacy of supplier invoices
  • Supporting Project Control Engineers with personnel cost change requests
  • Coordinating adjustments within procurement systems for cost or time variances

Hotels & Travel

  • Coordinating hotel bookings for offshore personnel
  • Ensuring timely cancellation of unrequired bookings in line with policy

Skills, Experience and qualities we are looking for:

  • ONC, NVQ or BTEC Level 3 (or equivalent experience) in Logistics Operations or a similar technical discipline
  • Previous experience working under deadlines within an offshore logistics or resource coordination role
  • Working knowledge of offshore operations and associated compliance requirements
  • VantagePOB Onshore Administrator certification with demonstratable practical experience
  • Previous experience with Vissim / Offshore Energy Manager (OSEM) online Software
  • Intermediate MS Word and Excel capability
  • High level of accuracy and attention to detail
  • Strong understanding of offshore training, certification and rest period requirements
  • Confident communicator at all levels – managers, engineers, offshore personnel, vendors and suppliers
  • Strong organisational skills and ability to manage competing priorities
  • Proactive, self-starting and solution-focused approach
  • Flexible and willing to travel within the UK when required
  • Full and valid UK driving licence
  • A working knowledge of relevant industry guidelines (e.g. OEUK Management of Helideck Operations, ERRV guidelines and CAP437) would be advantageous..
