About the Aviation Logistics Coordinator Role:

We are seeking a proactive and highly organised Aviation Logistics Coordinator (Temporary) to support helicopter logistics on behalf of an ODE client. Based primarily at our Great Yarmouth office, the role includes occasional deployment to Norwich Airport heliport locations.

The role supports the administrative and operational coordination of offshore helicopter movements, ensuring full compliance with site access requirements, aviation procedures and client governance. The postholder will maintain accurate, auditable records of passenger and flight movements to support compliance, assurance and invoicing.

Working closely with ODE’s wider Logistics & Planning Team, the role also supports allocation of helicopter resources from ODE’s shared aviation pool. Due to the dynamic nature of the project, a flexible, detail-driven and “can-do” approach is essential.

 

Key responsibilities include:

Administration

  • Maintaining and administering flight schedule lookaheads and personnel trackers
  • Collating Offshore Travel Transmission Sheets (OTTS) for all flying days
  • Distributing check-in information and flight lists to OTTS distribution points
  • Coordinating helicopter PPE requirements (e.g. immersion suits)
  • Coordinating air freight requests via designated receipt points
  • Collating flight data for monthly client invoicing, including cancellations and air freight movements
  • Providing immigration information to helicopter operators to support General Aviation Reports (GAR)

VISSIM / Offshore Energy Manager (OSEM)

  • Converting OTTS data into digital passenger manifests
  • Identifying conflicts relating to training, inductions or certification and notifying relevant parties
  • Informing the client of discrepancies impacting permit closure or MCC approval
  • Raising and managing Authority to Work (ATW) permits for helicopter flights
  • Liaising with the Marine Coordination Centre (MCC) to resolve helicopter resource or manifest issues

VantagePOB

  • Transferring passenger data to enable heliport check-in and departure manifests
  • Ensuring personnel mobilise under the correct employing entity
  • Creating and maintaining personnel profiles and employer liability insurance (ELI) records
  • Setting up helicopter flights with correct operators and departure times

Helicopter Operations

  • Coordinating helicopter requirements with the wider Logistics & Planning Team
  • Prioritising use of ODE sole-use helicopter provision where possible
  • Recording reasons for flight cancellations or rescheduling
  • Supporting helicopter operator permission to depart via the MCC
  • Ensuring flight manifests and ATW permits are correctly closed and archived
  • Coordinating compassionate or medical repatriation flights when required

 

Skills, Experience and qualities we are looking for:

  • ONC, NVQ or BTEC Level 3 qualification (or equivalent) in Business Administration, Logistics or a related discipline (or relevant experience)
  • Previous experience coordinating offshore helicopter operations
  • Fundamental understanding of offshore logistics operations (renewables experience desirable)
  • Intermediate MS Word and MS Excel capability
  • VantagePOB Onshore or Company Administrator experience (proof of training essential)
  • VISSIM / Offshore Energy Manager experience desirable (training can be provided)
  • High attention to detail with strong data accuracy and record-keeping skills
  • Strong written and verbal communication skills across multiple stakeholder groups
  • Ability to work effectively in a fast-paced, change-driven environment
